We have a document created in Word and we want to share it with our colleagues or our bosses that are located all over the world!!! What do we do?
Word 2013 is the answer. We can share our document with everyone whenever and wherever, with the condition that we have an internet connection. The procedure is very simple and described below.
First of all we must select the File tab in order to move to backstage view and then from the bottom of the drop down menu to select the Share category as shown in the image below.
Once we select the Share category from the right we select the command PresentOnline as we can see below.
Once the PresentOnline command is selected an informational window appears where we are informed about a few instructions such as that NoSetupisRequired, that a Link iscreated to Share with People and a few more as shown in the image below.
We can activate the check box next to the command EnableRemoteViewersToDownloadTheDocument if we want our viewers to download the Word document.
After we have read the instructions we can press the PresentOnline command and straight away InternetExplorer appears transferred to the web page about the TermsofMicrosoftServices, where we read the terms and agree with them in order to proceed.
Once we have read the TermsofMicrosoftServicesthePresentOnline the Present Online window informs us that it is ConnectingtotheOfficePresentationService as we can see below. We can still cancel the Presentation by pressing the Cancel button at the bottom right corner of the PresentOnline window.
After a while the PresentOnline window appears where a Link is created which we can share it with remote viewers and start the presentation. We have the options to CopytheLink by selecting the appropriate command from the window or SendtheLinkinEmail by selecting the appropriate command as we can see in the image below. Once we have decided on how to share the link we can press the StartPresentation button at the bottom right corner of the PresentOnline window.
Once we have selected the StartPresentation button a new tab appears on the ribbon named PresentOnline as we can see below with a few commands described further down.
The first command is ShareMeetingNotes, where we can share our notes with OneNote.
If we haven’t sent invitations we can still use the SendInvitations button in order to invite viewers, where the PresentOnline video appears which we have to repeat the procedure described before in order to send the link to the viewers.
If we want to make a few adjustments to our document we can press the Edit button as shown below. An informational dialog appears below the ribbon, informing us the OnlinePresentationisPaused. In order to make the updates of the document available to the viewer’s we must press the Resume button.
Another way to resume the presentation is to press the ResumeOnlinePresentation button on the ribbon as we can see in the image below.
If we are finished presenting our document online we just press the EndOnlinePresentation button that is located at the end of the ribbon and that’s it!!!
The whole procedure is very simple and doesn’t require any special knowledge thanks to Microsoft Office 2013,
