Modify the Search Options in Microsoft Outlook 365

Need to find an important message in your crowded Inbox or folder; Need to narrow down the results; We waste a lot of time trying to search for messages in nowadays. This will be a post about how we can use the Search Options dialog box in Microsoft Outlook 365 in order to provide us with help when we are Searching for Messages.


We must select the File tab in order to move to Backstage View, and then from the drop-down menu that appears from the left we select the command Options as shown in the image below.

Once we select the Options command, the Outlook Options dialog box appears, where from the left we select the category Search as shown below. In this category we are notified that we can Change How Items Are Searched With Instant Search. Here we have two subcategories that we can modify, the Sources and the Results. For this post I will describe the Results subcategory.

Outlook Options - Search

The first option that we have available under the Result subcategory is the following:

  • Include Results Only From: Here we can define where the Search Results will come from and which are the following:
  • Current Folder
  • Current Folder. Current Mailbox When Searching From The Inbox
  • Current Mailbox
  • All Mailboxes

For the following commands, all we need to do is to activate or deactivate the check boxes at the left of the following commands, if we want to use them or not.

  • Include Messages From The Deleted Items Folder In Each Data File When Searching In All Items
  • When Possible, Display Results As The Query Is Typed
  • Improve Search Speed By Limiting The Number Of Results Shown
  • Highlight Search Terms In The Results
  • Highlight Color: By selecting the arrow at the right of the magnifying glass we can select from a variety of Colors in order to Highlight our Search Results
  • Notify Me When Results Might Be Limited Because Search Indexing Is Not Complete


All we must do, is to make the adjustments that we need, and then press the Ok button in order for them to take place.

Another way to locate the Outlook Options dialog box is from the Search Tools tab that appears in Outlook. Once it appears, from the Options area which is located at the right of the ribbon as shown below, we select the command Search Tools. From the drop down menu that appears, we select the command Search Options and immediately the Outlook Options dialog box appears.
