Create A Search Folder in Outlook 365

In previous posts of mine, I mentioned about the Search Options, the Search Tools Tab in Outlook 365 and Indexing. In this post I will describe how to Create a Search Folder in Outlook 365 based on certain criteria.  All you need to do is to continue reading below.

Create A Search Folder in Outlook 365

We must select the Folder tab and then from the left area of the ribbon named New, we select the command New Search Folder as shown in the image below.

Once the New Search Folder command is selected, the New Search Folder dialog box appears as shown in the image below. This dialog box offers us some predefined Search Folders, where all we have to do is to select one. This dialog box is separated with the following categories of predefined Search Folders and which are the following:

Reading Mail:

  • Unread Mail
  • Mail Flagged For Follow Up
  • Mail Either Unread Or Flagged For Follow Up
  • Important Mail

Mail From People And Lists:

  • Mail From And To Specific People
  • Mail From Specific People
  • Mail Sent Directly To Me
  • Mail Sent To Public Groups

Organizing Mail:

  • Categorized Mail
  • Large Mail
  • Old Mail
  • Mail with Attachments
  • Mail With Specific Words

Custom:

  • Create A Custom Search Folder

Select A Search Folder

In the image below, we notice at the end of our Folders in our Inbox, the Search Folders category, where the Unread Mail Search Folder has been created. In this Search Folder, all our Unread Messages will be displayed.

If we want to delete the predefined Search Folder, which we created, all we need to do is to select it and do a right click on it with our mouse. The shortcut cut menu will appear, where we just need to select the Delete Folder command as shown in the image below. A warning dialog box will appear, notifying us that the Folder that we created will be deleted and not the contents of the Folder.

If we need to customize the Search Folder that we have created, all we need to do is to select it and do a right click on it, and from the shortcut menu that will appear we select the command Customize The Search Folder as shown below. Straight away the Customize Search Folder will appear, where we can customize the following commands.

  • Name of the Search Folder
  • Criteria: change the criteria of the Search Folder
  • Browse: Include more mail from other Folders.

Whatever changes we do, we just have to click on the OK button so they can take place.

All the above commands along with others, can be done also from the Folder tab, and from the area of the ribbon named Folder as shown in the image below.
