You want to keep your Inbox in Microsoft Outlook organized and tidy, but you do not want to waste time keeping it organized by moving, deleting, flagging etc.? What do you do? You simply use the Quick Actions feature which is available, so with just one click on an Email Message in your Inbox, you can either move, delete, flag, mark as read or unread an archive the selected Message. We select an E-mail Message that is in our Inbox, and then we do a right click with our mouse on the E-Mail Message. Once we have done the right click, from the shortcut menu that appears we select the command Set Quick Actions as shown below.

Once we select the Set Quick Actions command, the Quick Actions dialog box appears as shown below. Here We Can Customize What Happens To Items In Our Inbox When We Hover Over Them. We can define two Quick Actions to take place for the Items in our Inbox to take place when we hover over it.

Quick Action 1: We can select from one the following commands for the Item and which are the following: None, Archive, Delete, Move, Flag/Clear Flag and Mark As Read/Unread.

Quick Action 2: We can select from one the following commands for the Item and which are the following: None, Archive, Delete, Move, Flag/Clear Flag and Mark As Read/Unread.

In the following two images, I have defined two Quick Actions to take place. In the image below, I have selected the command Archive from the Quick Actions dialog box. We notice at the top right corner of the Message the Archive icon. Where with just one click on the icon, we can Archive the selected Message. If we hover over other Items in our Inbox, the same Quick Action Icons will also appear.

In the image below, I have selected the command Move from the Quick Actions dialog box. We notice at the top right corner of the Message the Move icon. Where with just one click on the icon, we can Move the selected Message to a Folder of our selection. If we hover over other Items in our Inbox, the same Quick Action Icons will also appear.

How To Set Quick Actions for Messages in Microsoft Outlook?

Once we have finished adjusting the Quick Actions that we need, we press the Ok button which is located at the bottom right corner of the Quick Actions dialog box. From now on, when we move over an Item in our Inbox, at the top right corner of each Item the Icons of the commands that we had chosen in the Quick Actions dialog box will appear. Then, with just one click we can apply the Quick Action.
